Description
DescriptionUnder general supervision, responsible for providing financial and administrative support to the Housing and Community Affairs Division. The position processes invoices, assists with financial transactions and ensure accurate record-keeping while also serving as the Division’s first point of contact for visitors and inquiries. The employee must exercise independent judgment and initiative in completing assignments and handling public contact situations. Reports to a division supervisor or department head.
Minimum Requirements (Must meet by the closing date of the posting unless otherwise stated)- High School Diploma or equivalency.
- One (1) year of experience in secretarial or clerical work, to include the operation of computer driven word processing, spreadsheet, and file maintenance programs.
- Knowledge of basic accounting principles and financial record-keeping.
- Knowledge of Microsoft office Suite (Excel, Word, Outlook).
- Local government procedures and grant-funded program administration preferred.
SPECIAL REQUIREMENTS - Strong attention to detail and ability to handle financial transactions accurately
- Excellent customer service and communication skills.
- Ability to multi-task and manage front desk responsibilities while assisting with financial tasks.
Essential Functions- Maintains payroll and personnel records, researching and solving problems and complaints.
- Processes invoices and credit card payments, ensuring proper documentation and coding of transactions.
- Assists with tracking grant expenditures and revenues, ensuring compliance with funding requirements.
- Reconciles financial records, maintain accurate logs of payments, and assist with budget tracking.
- Maintains financial filing systems and assists with audits as required.
- Answers and directs phone calls from the main Division line, responding to general inquiries and directing calls to appropriate staff.
- Greets visitors and assists applicants with pre-screenings for housing and community programs.
- Provides basic information regarding CDBG, SHIP, and Community Shuttle Program.
- Maintains appointment schedules and assists in coordinating meetings.
- Support procurement processes by preparing purchase orders and processing vendor payments
- Assists with public notices, community outeach, and application intake for housing programs.
- Screens and routes materials according to content of communications; routing duties require detailed knowledge of organizational operations and individual staff members' assignments and status of work.
- Records business transactions in journals, ledgers and on special forms.
- Uses a variety of mathematical formulas; summarizes statistical information; prepares tables, charts and graphs.
- Types materials from typed or handwritten copy or machine dictation using a variety of complicated formats for preparing correspondence, reports and manuscripts with responsibility for correctness of spelling, punctuation, format and grammar.
- Coordinates arrangements for meetings, conferences or workshops to include: locating appropriate space; notifying participants of date, place and times; assisting in the preparation of programs; may assist in registration or to take minutes; may prepare reports for distribution to appropriate individuals.
- Prepares agenda packets and related materials for Advisory Board meetings; attends meetings, prepares, and distributes condensed versions of minutes.
