Position DescriptionSupports the program director by performing administrative duties related to planning, directing and coordinating both the academic and operational activities of the program.
Major/Essential Functions- Keeps physicians' calendars and/or schedules up to date. Reminds physicians of meetings and other appointments, and has any necessary documentation ready for them.
- Scheduling of meetings, updating CMEs(Continuing Medical Education)and CVs(curriculum vitae), keeping up with leave time, and other office functions (includes completing presentations, reports, graphs, etc.).
- Transcribe letters dictated by the physician and produce letters of response independently with little input; predict need and content without direction.
- Provide guidance and direction to patients when necessary.
- Make all travel arrangements for physicians to include registration, booking flights and hotel. Assure proper reimbursement through the TTUHSC(Texas Tech Health Sciences Center) Travel System.
- General administrative support to faculty, including assisting with research projects; gathers data, articles, and tables, reviews and edits manuscripts for grammar/punctuation.
- Notifying nurses and PSS(Patient Service Specialist) of physicians' schedules for cancellation or rescheduling of patient appointments.
- Prepares and routes contracts.
- Coordination and monitoring of physicians, administrative functions to include tracking leave time, submitting leave forms, and assisting in the completion of various time management surveys and reports.
- Reconciling and maintaining purchase card logs. Sending requests to the departmental accountant for reimbursements.
- Input of all departmental call schedules. Provide updates as necessary and assist in the coordination of call schedules by verifying days out and possible conflicts with all departmental faculty.
- Assist the Clerkship Director with all duties and functions associated with the 4th-year clerkship. Including maintaining medical student records, grades and evaluations as well as other pertinent documentation. Assists in scheduling evaluations and lectures as needed for MS 3 clerkship. and in proctoring and scheduling OSCE exams for MS3 clerkship, as needed.
Required QualificationsHigh school plus six years experience in related field. Additional education may substitute for experience on a year for year basis.
