Job Location:Thi s pos ition w ill be l o c at ed a t the Ike Skelton Training Site, 2302 Militia Drive, Jefferson City, MO 65101.
Under the supervision of J1 Personnel, this position provides critical administrative support to the Missouri National Guard Mailroom as well as Personnel. The incumbent is responsible for organizing, maintaining, and safeguarding the official records and documents of the agency in compliance with applicable laws, regulations, and internal policies.
The Administrative Services Records Coordinator (Program Specialist) is responsible for organizing, maintaining, and safeguarding the official records and documents of the agency in compliance with applicable laws, regulations, and internal policies. This position plays a key role in managing records retention schedules, supporting records digitization efforts, coordinating public records requests, and ensuring the integrity, accessibility, and security of records across departments.
Implements and maintains records management systems in compliance with state records retention and disposition schedules.
Coordinates the classification, storage, retrieval, and archiving of physical and electronic records.
Acts as liaison with the State Archives or Records Management Division for transfers, destruction approvals, and compliance reviews.
Assists departments with records audits, inventories, and the development of file plans.
Tracks and ensures timely disposition of records in accordance with retention schedules and legal requirements.
Coordinates public records requests (e.g., FOIA or state equivalent), ensuring timely and accurate responses in consultation with legal or program staff.
Maintains logs of records activities, destruction certificates, and storage locations for accountability and auditing.
Assists with the planning and implementation of digitization and electronic records management initiatives.
Provides training and guidance to staff on records policies, filing systems, and best practices.
Minimum Qualifications:Bachelor’s degree and one to three years of relevant experience. (Substitutions may be allowed.)
