A Sr. Administrative Assistant job is available with the City of Fort Worth Transportation and Public Works Department within the Construction Office & Material Lab Testing Business Support team. This position provides administrative and fiscal support to the Capital Delivery Construction Inspection & Material Lab teams.
The Sr. Administrative Assistant position serves as a key support role, requiring a strategic thinker with the ability to manage complex responsibilities and deliver high-level administrative assistance in a dynamic, fast-paced environment. The ideal candidate will have possess a strong understanding of government purchasing procedures, excellent organizational skills, and demonstrated analytical abilities. Success in this role requires initiative, adaptability to shifting priorities, and the capacity to navigate changing situations with professionalism and efficiency.
Minimum Qualifications: - Bachelor’s degree from an accredited college or university with major coursework in public administration, business administration, human resources or a related field
- Three (3) years of increasingly responsible administrative and fiscal management experience in support of a department, division, or major service area
- One (1) year in a supervisory or lead capacity
Preferred Qualifications: - Strong understanding of municipal operations, policies and procedures.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with advanced skills in Excel for data analysis and reporting.
- Experience with contract monitoring, procurement processes and financial reporting.
- Excellent written and verbal communication skills, with the ability to prepare reports, presentations and correspondence.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Experience with PeopleSoft (ERP Financials, Purchasing, HCM).
The Sr. Administrative Assistant's job responsibilities include: - Oversee and perform complex fiscal tasks, including account analysis, contract budget monitoring, reconciliations, and purchase order tracking to ensure accurate financials.
- Analyze and assess financial data, preparing detailed and accurate financial and statistical reports. Identify trends and recommend process improvements to enhance operational and financial efficiency.
- Review technical documents related to purchasing and contract procedures to ensure they comply with established policies and accuracy standards.
- Evaluate current processes and workflows, identifying opportunities for improvement, and recommend changes to streamline operations and increase efficiency.
- Participate in special projects as assigned, providing support where needed.
- Supervise staff by assigning tasks, providing training, and conducting performance evaluations.
- Serve as a backup for other staff positions, as needed, ensuring continuity of operations.
Physical Demand Sedentary Work - Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
